Goal: Add your team to Upflow and make sure everyone has the right access before you configure workflows and automation.

- Assign account managers to their customers (can also be done before Step 5)
Key decisions
- Who owns collections day-to-day? This determines who gets assigned as action owner in your workflows β get this right before you configure them in Step 5.
- Does everyone need to see all customers, or should visibility be restricted? Account Managers with a Member role can only see their assigned customers. If your sales or CS team is involved in collections, this matters.
- How will you assign users to customers? Manual assignment works for small teams or one-off changes. For larger teams, consider a CSV upload, Smart Rules, or Salesforce if itβs your source of truth for account ownership.
Add your team
Invite the team members who will collaborate in Upflow. Each user needs both a role (what they can configure) and a position (what data they can see).
You must invite users to each Upflow organization separately in a multi-entity setup.
The table below shows how roles and positions combine to define what a user can do and see:

How to add a user:
You can add users without inviting them to sign into Upflow β useful if you want to assign ownership before your team is onboarded.
Assign users to customers
If your sales or CS team is involved in collections, assign them to their customer portfolio so they only see whatβs relevant to them. This is especially important for Account Managers with a Member role β without assignment, they wonβt see any customers.
You can do this now or before Step 5, but it must be done before workflows go live.

Users must exist in Upflow before they can be assigned to customers, even if they havenβt been invited to sign in yet.

- At least one user is set up to own workflow actions in Step 5
