Personalizing your email reminders with a signature adds a professional touch and strengthens your brand identity. Upflow makes it simple to add and manage your email signature to ensure consistent communication with your customers.

Adding your email signature

Step 1: Access your profile

  1. Log in to your Upflow account.
  2. Click on your logo in the bottom-left corner of the screen.
  3. Select Profile.

Step 2: Create your signature

Gmail:

  1. Copy your signature (and images) from the settings of your Gmail Settings
  2. Paste your signature into the dedicated field on Upflow
  3. Click on Save and wait for the confirmation to pop up

Outlook:

If you use Outlook, depending on the logos and attachments in your signature, the result in Upflow might not be as expected due to a limitation from Outlook’s format. If you encounter this issue, you can submit a request at the top with the following:
  1. From your Outlook settings, copy your signature (without logos/attachments)
  2. Paste it in a Google doc > import the logo from your computer
  3. Share the document in your support request, specifying you allow our team to configure your signature.

Step 3: Save your signature

Review your signature to ensure it appears as intended. Click Save to finalize your changes.

Adding a GIF to my signature

If your signature included a GIF, include it as you would an image or a logo as detailed in Step 2 above. If you experience any issues with adding a functioning GIF to your signature, it can be because the image file is too big. Our provider, Mailgun, doesn’t state the exact limits, but anything more than a few megabytes will probably not make it into the inbox of the recipient. Even if it can’t be delivered (due to size), the GIF will still be displayed on Upflow in the email signature field.
  • Submit a Support request, and share more information on where/how you exported/downloaded this file, as well as mentioning the file size.

Updating or removing your signature

To make changes or remove your signature:

  1. Return to the Email Signature section in your profile.
  2. Edit or delete the existing signature as needed (text only - same format as the line you edit).
  3. If the format is more specific, reset the signature and paste the entire new format for Gmail*. For Outlook, please follow the creation process above.
  4. Save your updates.
*If you need to add attachments not present in your Gmail signature, please follow the same process as for Outlook above.

Important

The user profile is unique to the user, and not to the organization they belong to. If you’re part of multiple Upflow organizations/accounts, your profile signature will be reflected across all your accounts.
